1. Information We Collect
When you create an account or use our forms, we receive information you provide, such as your name, email address, company name, and form responses. Beta requests may include your module interest, QuickBooks use, goals, and referral source. CFO Advisory inquiries may include your QuickBooks use, company stage, and message. When you connect QuickBooks Online, ClearLedger imports supported financial information for the workflows you use, which may include transactions and their descriptions, amounts, and dates; customer and vendor details; accounts; invoices, bills, payments, purchases; and supported reports. ClearLedger also stores information you create in the app, such as review states, tags, notes, project labels, review history, and source-data snapshots. Service logs record request methods, paths, and response statuses for operations and troubleshooting.
2. How We Use Your Information
We use this information to operate ClearLedger accounts and workspaces; connect to QuickBooks Online and import supported data; provide Analysis Readiness, CLEAR R&D, CLEAR Trade, and other specialist workflows available to your account; save review history and source-data snapshots; respond to beta, CFO Advisory, and support inquiries; and maintain service reliability and security. When AI transaction suggestions are available and you request them, the selected transactions' identifiers, descriptions, amounts, currencies, and vendor details are sent to OpenAI to generate suggestions.
3. Data Storage & Security
The application encrypts newly saved QuickBooks access and refresh tokens using AES-256-GCM. Older QuickBooks token records are converted to encrypted form when the connection is read. Authentication is handled by Clerk, and the application checks workspace access before returning workspace data.
4. Third-Party Services
The application currently uses Intuit QuickBooks Online to import financial data, Clerk for authentication, OpenAI for AI-assisted transaction suggestions, and Replit for hosting. For requested transaction suggestions, selected transaction details—including a transaction identifier, description, amount, currency, and vendor—are sent to OpenAI. These providers process information under their own terms and privacy notices.
5. Data Retention
The application does not set a fixed deletion date for imported QuickBooks information or inquiry submissions. Disconnecting QuickBooks marks the workspace connection as disconnected in ClearLedger and attempts to revoke its access token with Intuit, but the application completes the local disconnection even if that request fails. Disconnecting does not delete the stored connection record, including its token fields, or imported QuickBooks information.
